This Privacy Policy explains how Hexment (“we”, “us”, or “our”) handles your personal information when you contact us or engage our services. We comply with the Digital Personal Data Protection (DPDP) Act, 2023 and the Information Technology Act, 2000 to the extent applicable to an individual service provider.

1. What We Collect

We only collect information you voluntarily provide:

• Your name and email address (via contact form or email)
• Project details you share with us during discussions
• Basic technical and visit data, including IP address, browser type, visited page, referrer, and URL parameters, for first-party analytics and abuse prevention

We do not use advertising networks or third-party analytics tools that collect personal data.

2. How We Use It

• To respond to your enquiries and discuss potential projects
• To communicate about ongoing work
• To send invoices or project-related documents

We do not sell, rent, or share your personal information with any third party for commercial purposes.

3. Data Storage

Enquiry data submitted through our contact form is delivered directly to our inbox. We do not operate a separate database for storing contact submissions. All communication is managed through our email account, which is hosted on Google Gmail and subject to Google's Privacy Policy.

First-party analytics data is stored in our private admin system so we can understand website traffic sources, diagnose abuse, and improve the website.

4. Data Retention

We retain your personal data only for as long as necessary to fulfil the purpose for which it was collected, in accordance with Section 8(7) of the DPDP Act, 2023. The following retention periods apply:

• Enquiries with no project engagement: If an initial enquiry does not lead to an active project, we will delete your personal data (name, email, and message content) within 6 months of our last communication.
• Active project communications: Emails, messages, and project-related correspondence are retained indefinitely as part of our business records, for purposes including dispute resolution, project reference, and service continuity. You may request deletion at any time, and we will delete what is within our control, except where retention is required for legal or dispute purposes.
• Delivered project files and source code: Any code, documents, or files we create for you remain in our possession unless you explicitly request deletion. We retain these as a reference and backup for 3 years after delivery, after which they are permanently deleted.
• Website analytics and server logs: Automatically deleted within 90 days.

You may request early deletion of your data at any time by emailing us. We will action valid requests within 30 days, provided we are not required to retain the data for legal or dispute resolution purposes.

5. Your Rights (DPDP Act, 2023)

As a Data Principal under the DPDP Act, you have the right to:

• Access: Request what personal data we hold about you
• Correction: Ask us to correct inaccurate data
• Erasure: Ask us to delete your data where no longer needed
• Withdraw consent: Opt out of future communications at any time

If your grievance is not resolved to your satisfaction, you may escalate it to the Data Protection Board of India via meity.gov.in.

6. Cookies

Our website may use essential browser cookies for basic functionality. We also use a first-party analytics cookie that lasts up to 6 hours to avoid recording duplicate visits. We do not use advertising or third-party tracking cookies.

7. Children's Privacy

Our services are not directed at persons under the age of 18. We do not knowingly collect personal information from minors. If you believe a minor has contacted us, please notify us and we will delete that data promptly.
